Privacy and Personal Data Protection Statement

ELEPAP is committed to protecting your personal data and implements appropriate technical and organizational measures in order to achieve this purpose. ELEPAP ensures the confidentiality of the information entrusted to it and complies with the applicable legislation on the protection of personal data.

In the course of its activities, ELEPAP collects personal data (full name, father’s name, address, email, telephone, etc.) provided by the individuals who interact with ELEPAP (interested persons, service users, graduates, volunteers, donors, sponsors, event visitors, lottery participants, etc.). ELEPAP processes these data, i.e. in particular it collects, registers, organizes, structures, stores, recovers and uses them. Such processing shall be performed solely with a view to achieving the charitable purposes of ELEPAP; communicating with data subjects; carrying out awareness-raising actions and activities; as well as for any other legal use. ELEPAP shall take measures to protect such data in accordance with national and European legislation on the protection of natural persons with regard to the processing of personal data. The data shall only be processed by the competent persons designated by ELEPAP, who shall be bound by an obligation of confidentiality and shall not be notified or disclosed to third parties unless this is required for carrying out the activities of ELEPAP, or required by law. The data shall be retained by ELEPAP, throughout the duration of action/program implementation and for as long as required by law for the fulfilment of budgetary, fiscal and audit purposes, and for the purpose of repudiating any legal claims. The expression of interest, and/or the application and/or participation of natural persons in the ELEPAP actions/programs requires the processing of their data in the above manner and therefore the consent of the interested persons/applicants/participants to the processing of their data by ELEPAP is necessary, in accordance with Articles 7 and 13 of the General Data Protection Regulation (EU Regulation 2016/679). In any event, the interested persons/applicants/participants retain the right to withdraw their consent at any time, without prejudice to the processing carried out until then. The interested persons/applicants/participants also reserve the right to investigate whether or not ELEPAP retains personal data and to have access to it, to request the rectification and/or erasure of such data and/or to restrict their processing and/or to oppose such processing. They shall also have the right to lodge a complaint to the Personal Data Protection Authority in matters relating to the processing of their personal data. This Privacy Statement applies to the ELEPAP website and governs the collection and use of data. By using the ELEPAP website, you agree to the data practices described in this Statement. PRIVACY POLICY

The collection, retention and protection of the personal data of the visitor/user of the services provided by the ELEPAP website shall be governed by the terms of this Section, in the context of the General Data Protection Regulation (EU Regulation 2016/679), as well as all relevant national and European law. In any event, the site reserves the right to change these terms within the applicable legal framework and upon informing visitors/users. You have the right to refuse / consent to the processing of your data.

  1. Type of personal data

The personal data collected from our site are the following: For the registration of a user to be included in the newsletter mailing list: Full name, and email. Such information shall be kept on the ELEPAP website and shall never be disclosed to third parties.
For financial support to ELEPAP: Email (required) and optionally first name, last name, address, postal code and city. Such information shall be kept on the ELEPAP website and shall never be disclosed to third parties. At this point, we would like to clarify that the donation is completed (payment of the amount desired by the user), regardless of the form of payment chosen (paypal, credit card), by automatic transfer to third party websites (paypal, relevant bank), who are solely responsible for taking all necessary security measures (e.g. encryption) to ensure transaction integrity and security.
Hardware and software on your computer: Please be advised that when accessing the ELEPAP website, the only information gathered about your computer hardware and software will be linked to performance cookies. More information is provided about performance cookies in Section 2.1 hereof.
The only data stored (and only for as long as you are accessing the ELEPAP website and then automatically deleted) are performance cookies. More information shall be provided about performance cookies in Section 2.1 hereof.

  1. Automatic Personal Data Collection

The only automatic data collection technology used by ELEPAP are cookies (ELEPAP does not use web beacons or other technologies to automatically collect certain categories of data when you visit ELEPAP online), and via any emails we exchange. The collection of such data allows ELEPAP to personalize your online experience, improve the performance, usability and effectiveness of its online presence.
Specifically:

2.1 Cookies

The ELEPAP website uses cookies primarily for the purpose of the functionality of its website. A cookie is a text file placed on your hard drive from a web page server. Cookies cannot be used to run programs or infect your computer with viruses. Cookies are assigned exclusively to you and can only be read by the web server in the domain that sent you the cookie.

ELEPAP uses two types of cookies:

  1. A) functionality cookies: These cookies are completely necessary for ensuring the functionality of the ELEPAP website. They do not contain personal data and are deleted immediately after you have accessed the ELEPAP website.
  2. B) Performance cookies (analytics): Their purpose is to monitor traffic on the ELEPAP website and its quality characteristics. In particular, information stored includes items such as area browsed, browsing time, pages visited, device used to access the site. None of the above information could be used to identify the user and it is very important to know that your IP is NOT being recorded. Once you have finished browsing, this file shall be deleted.

3. Social media apps and widgets

The ELEPAP web page does not use social media apps and widgets (such as Facebook's like button). Even if ELEPAP chooses to do so in the future, social media apps will not be able to collect and use information about your use of the ELEPAP website, nor will any personal information you provide through such social media apps be collected and used by other members of that social media app.

  1. General privacy conditions

The ELEPAP website preserves the privacy of your information and cannot transfer it to any third party (natural or legal person) for any reason excepted as provided by the relevant provisions of the law and then only to the competent authorities. The ELEPAP website shall maintain personal information records which the visitor/user voluntarily sends solely for the purpose of registration and/or financial donations (sponsorship), as stated in Section 1 hereof.
You can contact the competent department to verify the existence of a file with your personal data, to correct or to delete such data, to restrict their processing, or to object.
The ELEPAP website may process part or all of your details for statistical purposes and in order to improve the services and information provided.
Personal information is retained for as long as we need to provide you with our Services and as required by applicable laws and regulations.

  1. Disclosure and transfer of personal data

We do not share personal data with third parties that are not connected to us unless this is required for our legitimate business purposes in order to respond to your requests and/or required by law.
ELEPAP does not sell personal data to any third party. ELEPAP may, from time to time, contact you regarding a specific offer that may be of interest to you only if you have given your consent. In these cases, your individual personal information (email, name, address, phone number) shall not be transferred to any third party. In addition, ELEPAP may share data with trusted partners in order to conduct statistical analyses and/or send you emails or messages by post having, of course, received your consent to do so. All these third parties are prohibited from using your personal data other than for providing such services to ELEPAP and are obliged to preserve the confidentiality of your information.

  1. Choices

ELEPAP may request your permission for certain uses of your personal data and you may either consent to or refuse such uses. If you opt for specific services or communications, such as a newsletter, you will be able to unsubscribe at any time by following the instructions contained in each communication. If you decide to unsubscribe from a service or communication, we will try to delete your data as soon as possible, although we may need some time and/or information before we can process your request.

You have the right to request a copy of your personal data retained by us
and to review it and in general exercise any right provided by law on the protection of personal data.

  1. Data security and integrity

ELEPAP shall have reasonable technical and organizational security policies and procedures in place to protect personal data and information from loss, misuse and unauthorized access, disclosure, alteration and destruction. In addition, we strive to ensure that access to your personal data is limited to a need to know basis. Individuals having access to the data are obliged to preserve the confidentiality of such data. We make every reasonable effort to keep the personal data we collect from you only for the period for which we need such data for the purpose for which it was collected or until a request for their deletion (if this occurs earlier), unless we continue to comply with the provisions of the legislation in force.

  1. Changes to the present Statement

ELEPAP shall review this Statement on a regular basis and may amend or revise it periodically at its discretion. The updated Statement shall apply to you and your details from that date onwards. The present Statement was last updated in June 2018.

  1. Data Protection Officer

By virtue of Decision No 001/11-06-2018, the General Director of ELEPAP, designated a Data Protection Officer for ELEPAP, in accordance with the compliance requirement set out in General Regulation (EU) 2016/679 on the protection of natural persons with regard to the processing of personal data.

The Data Protection Officer of ELEPAP also carries out the duties of Data Protection Officer for the 5 ELEPAP Branches (Thessaloniki, Chania, Ioannina, Agrinion and Volos). The Data Protection Officer (DPO) shall be responsible for monitoring the compliance of ELEPAP and its Branches with the Personal Data Regulation and legislation and for ensuring the harmonization of personal data processing policies, practices, methodology with the Regulation. Moreover the DPO also carries out checks on the implementation of the data security and data protection policy and provides a channel of communication between the Personal Data Protection Authority, ELEPAP and citizens.
